1. Introduction

We respect your privacy and are committed to protecting your personal data. This policy explains what we collect when you use Quotrium, why we collect it, and what rights you have over it.

2. Data we collect

We collect and store the following kinds of personal data:

  • Identity data — your name and the account type you selected (landlord, manager, or portfolio).
  • Contact data — your email address, and a phone number if you provide one.
  • Project data — the properties, work descriptions, photographs, scopes, quotes, and messages you create on the platform.
  • Vendor data — the business contact details you enter for vendors you invite. See section 4.
  • Technical data — IP address, browser type and version, and login records.
  • Usage data — how you use the product, so we can improve it.

3. How we use your data

We use your personal data only where the law allows, which in practice means:

  • to perform the contract we have with you — running your projects and delivering the service;
  • for our legitimate interests in operating and improving the product, where those interests do not override your rights; and
  • to comply with a legal obligation.

Your project photographs, scopes, and quoted prices are private to the participants of that project. We do not sell your personal data, and we do not sell leads.

5. Third-party sharing

We share personal data with service providers who process it on our behalf — hosting, email and SMS delivery, payment processing, and error monitoring. They act on our instructions, are bound to protect your data, and may not use it for their own purposes.

When you select a vendor, we share your contact details with that vendor so the relationship can continue off-platform. That exchange only happens once you choose them.

6. Data security

We use appropriate technical and organisational measures to prevent your personal data from being lost, misused, altered, or disclosed without authorisation. Access is limited to those who need it to operate the service. Magic links sent to vendors are single-project, expiring, and revocable.

7. Your rights

You may request access to, correction of, or deletion of your personal data, and you may ask us to stop sending you non-essential communications at any time.
